TASKPILOT AI · SMARTBOOKINGS LITE

SmartBookings Lite business terms

Version 2026-10-17-lite-terms-3. Owner-adopted business terms; independent legal/privacy review remains outstanding.

1. Who we are

TaskPilot AI is a trading name of Nadine Pierre LTD, registered in England and Wales, company 17235708, with its registered office at 128 City Road, London, EC1V 2NX. Contact us at hello@taskpilotai.co.uk. “We”, “us” and “our” mean Nadine Pierre LTD. “You” means the business named in your order. You confirm that you are buying for that business and have authority to enter this contract. These terms are intended for business purchases; they do not remove rights that cannot lawfully be excluded. Your contract consists of these terms, our data-processing agreement and the standard automated setup scope below. It starts when you accept the terms and the service confirms your order. We will provide a copy you can keep. Payment verification activates paid access. Setup is complete when the dashboard confirms payment, at least one active service and your public HTTPS privacy-notice link; you control when to finish these steps.

2. The service

SmartBookings Lite helps small UK domestic cleaning businesses collect enquiries, configure cleaning services, use a branded hosted or embedded enquiry form, review requests, record manual quotations, agreed bookings and follow-ups, and export their records. The plan covers one business account, one enquiry form, up to 30 service choices and 200 valid processed enquiries per paid monthly period. Identical enquiries deduplicated within 24 hours do not count again. There are no automatic overage charges. If you reach the limit, new processing may pause until the next paid period. You set your own cleaning prices, check availability, communicate directly with customers and obtain their agreement. An enquiry or preferred date is not a booking. When transactional messaging is enabled, the service sends account verification/welcome, new-enquiry, quotation, recorded booking/cancellation and subscription/payment notifications. A quote does not confirm a booking. Record a booking only after obtaining the customer’s agreement and timing. These messages are not marketing. The service does not calculate quotations, allocate cleaners or make booking decisions. Optional AI summaries are off by default. If separately enabled with appropriate processing information, they assist your review only; you must check them before relying on them.

3. Setup

The £199 one-time fee covers the automated activation and onboarding service: account and workspace provisioning, verified-payment activation, guided configuration, a hosted enquiry form, validation and self-service sharing or embed instructions. It does not buy founder-delivered consultancy, website installation or bespoke work. You confirm your email, pay through Stripe, choose your services and supply your business name and public HTTPS privacy-notice link. The dashboard saves progress and confirms readiness automatically; no founder approval is required for standard onboarding. No website is needed to use the hosted form. If you choose to embed it, you or your website administrator use your own editor. We do not require access to your website. Subscription time begins with the initial paid period, not when you finish configuration. Technical exceptions can be escalated to support.

4. Price and payment

The charge is £199 once for setup plus £79 per month. The initial payment is £278, including the first month. The subscription then renews at £79 each month until cancelled. There is no annual commitment or minimum term beyond the current paid month. Nadine Pierre LTD is not VAT registered, so no VAT is currently charged. Any future tax or price change will be explained before it applies; it will not alter an already paid period retrospectively. Payment details are entered through customer-initiated Stripe-hosted checkout. The service verifies payment automatically before activating or extending access and sends your paid-period details in writing. Contact us promptly if the amount or account details appear wrong. If payment fails or remains unpaid, we may pause new enquiry processing and editing until payment is verified. We will preserve access to retained records for export where reasonably safe. We will not repeatedly charge an alternative amount or add an overage fee without your agreement.

5. Cancellation

You can cancel at any time before the next monthly renewal by emailing hello@taskpilotai.co.uk from your account contact address, or through Billing & export → Manage subscription. There is no cancellation fee. Keep a copy of your request. A request received before the renewal takes effect for that renewal even if we process it later. We will confirm cancellation in writing. If a renewal is taken after a timely cancellation request, we will refund it. Unless you request earlier closure, access continues until the end of the paid period. Cancelling the subscription does not automatically request a refund or immediate deletion of your data; tell us separately if you require either.

6. Refunds and service problems

If you cancel before automated setup starts, we will refund the setup fee. If the activation and onboarding service has partly been delivered, we may retain a reasonable amount reflecting the service actually delivered and refund the balance. If we cannot deliver the agreed automated setup, we will refund the undelivered part. These provisions do not limit remedies for defective work or other rights that cannot be excluded. A voluntary cancellation partway through a working subscription month does not normally produce a part-month refund; access remains available to the end of that period. Tell us about a material service fault and allow us a reasonable opportunity to put it right. If we cannot restore a materially unusable service within a reasonable period, you may cancel and receive a fair refund for the affected paid service. We will correct duplicate or erroneous charges after verification. Approved refunds go back through the original payment route where possible. We aim to initiate them within 10 working days of agreeing the amount; bank processing may take longer.

7. Your account and responsibilities

Keep your login details secure, use the account only for your business and tell us promptly about suspected unauthorised access. Do not share credentials with unrelated businesses, attempt to access another customer's records, disrupt the service, upload unlawful material or use the service for spam. You remain responsible for the lawfulness and accuracy of the information you enter, the notices you give your customers and the cleaning services you deliver. Do not enter payment-card information, keys or access codes, or unnecessary sensitive personal information. Keep appropriate business records and use the export function when needed.

8. Support and availability

Support is available at hello@taskpilotai.co.uk. Our normal support hours are Monday to Friday, 9am–5pm UK time, excluding English public holidays. We aim to respond within two working days. This is a response target, not a guaranteed resolution time or uptime commitment. We will provide the service with reasonable care and skill. Maintenance, third-party outages and unexpected faults may interrupt access. We will give reasonable notice of planned material interruptions where practical and take reasonable steps to restore service. No software service is guaranteed to be uninterrupted or error-free.

9. Your information and privacy

You retain ownership of your business content. You permit us to use it only as needed to provide, secure and support the service and comply with lawful obligations. We do not acquire ownership of your cleaning customers or sell their enquiry records. Our privacy notice explains how we handle account, support, payment-administration and security information. The separate data-processing agreement governs personal information we process on your business's instructions. You must provide an appropriate privacy notice on your enquiry form. Accepting these terms is not consent to marketing. On termination, you can request return or deletion of your business records. Our standard process allows 30 days to export retained records, followed by deletion from active systems within a further 30 days, unless you request earlier deletion or a lawful retention requirement applies. Backup copies are put beyond ordinary use and expire under the disclosed backup cycle. We may retain the minimum accounting, dispute or security information needed for a stated lawful purpose. We will explain applicable exceptions.

10. Intellectual property and confidentiality

We retain ownership of the software, TaskPilot branding and our materials. During your paid subscription, we grant your business a non-exclusive, non-transferable right to use the service for its own operations. You may not resell it or copy proprietary software except where the law permits. Each party will protect the other's confidential information and use it only for this contract. Disclosure is permitted to people who need it and are bound by appropriate confidentiality duties, or where required by law. Information already lawfully public is not confidential merely because it was shared under this contract.

11. Suspension and ending the service

We may suspend the minimum access reasonably necessary for non-payment, a serious security risk, unlawful use or a material breach. Where practical, we will explain the issue and allow an opportunity to resolve it. Urgent protective action may be taken first, with notice afterwards when safe and lawful. Either party may end the contract for a material breach that is not corrected within 14 days of written notice, where it can be corrected. We may discontinue the service on at least 30 days' written notice and refund prepaid subscription charges for any period we do not provide. We will offer reasonable data-export arrangements.

12. Liability

Nothing in these terms limits liability for fraud or fraudulent misrepresentation, death or personal injury caused by negligence, or any liability or statutory right that cannot lawfully be limited. Subject to that protection, each party's total contractual liability arising from the service in a 12-month period is capped at the greater of £1,000 and the fees paid or payable under this contract in that period. This cap does not excuse payment of undisputed fees for services properly provided and does not limit a person's statutory data-protection rights. Subject to the same protection, neither party is responsible for indirect or consequential loss. We do not promise particular sales, enquiry volumes or business results. Reasonable direct costs caused by our breach, including eligible data-restoration costs, are not excluded merely because they relate to business information; they remain subject to the applicable liability limit. Independent review of the reasonableness and scope of these provisions remains outstanding.

13. Changes, complaints and general provisions

We may make reasonable security, legal or service improvements. For a material adverse change to these terms, the main service or future pricing, we will give at least 30 days' notice and allow cancellation before it takes effect. Changes will not remove rights already accrued or retrospectively change the price of a paid period. Send complaints to hello@taskpilotai.co.uk with a brief description and your account or invoice reference. Do not include passwords or unnecessary customer information. We will investigate and try to resolve the complaint fairly. Neither party may transfer the contract in a way that materially reduces the other's rights without consent, except a lawful business transfer with equivalent protections. If a clause cannot be enforced, the remaining clauses continue where they can operate fairly. Not enforcing a right immediately does not waive it. No third party receives contractual rights unless expressly stated or required by law. The contract is governed by the law of England and Wales. The courts of England and Wales have jurisdiction, subject to any mandatory right to bring proceedings elsewhere.
