Distinguish missing information from an unanswered price
A lead waiting for property details needs a different reply from a customer considering a quote. Mark the first as awaiting details and the second as awaiting customer acceptance. That distinction helps you reopen the right conversation. Do not mark either as confirmed just to clear a list; the record should reflect what actually happened.
Set a sensible next action
Add a follow-up date and a short internal note explaining what you intend to check. For example, note that the customer wants to confirm access before choosing a date. Review those records in your normal routine. SmartBookings stores follow-up dates, but it does not promise an automated sales sequence or contact an undecided customer repeatedly on your behalf.
Close the loop when the customer replies
If the customer accepts, agree the cleaning scope and time directly before recording a confirmed booking. If they decline, record an appropriate status and any relevant factual note. A saved quotation can queue a transactional email with the amount you entered. This is different from a marketing campaign: do not use enquiry information to build an unsolicited mailing list.
Your practical checklist
- Mark what you are waiting for.
- Record one useful next action and follow-up date.
- Check replies before sending another message.
- Confirm only after agreement on scope and timing.
Questions about this workflow
Does TaskPilot automatically chase every lead?
No. Follow-up decisions and direct conversations remain with your cleaning business.
Will saving a quote send it?
With transactional messaging enabled, saving the relevant quote status queues its notification. Check the amount first.
